Directory entries are one of the oldest modules in LumApps, and they've picked up some new features. Misha and Ivo show how to bulk import links, add custom fields like contact emails and phone numbers, manage permissions, and run micro apps right inside a directory.
Hot weather, older module
Ivo joined us from under a European heat dome. We stayed indoors and talked about directory entries, the module that every implementation team knows and every SharePoint or Drive migration ends up needing. If your organization has a link farm, this episode is for you.
First, a new widget: Page Reader
Our latest widget adds text-to-speech to any LumApps page. Drop it in, choose a voice, and hit play. It works on desktop and mobile, with different voice providers depending on the device.
The privacy angle matters here: everything runs locally in the browser. Your page content is never sent to a third-party service. That's also why mobile voice quality is a bit lower, but for anyone handling sensitive content, it's a fair trade. Find it in the ADC Partner space on the Hive.
Pro tip: bulk import links with the LumApps Toolbox
This one's an oldie but a goodie. The LumApps Toolbox is officially deprecated, but it still works, and it's still the fastest way to get hundreds of legacy links into LumApps.
Ivo walked through importing directory entries from a CSV. A few things that will save you time:
Site ID: Press Ctrl+Shift+? on any page to pull up the site instance properties.
Directory ID: This is the tricky one. It's not the content ID of the directory page. The easiest way to find it is to run an export first and pull the ID from the file.
Keep it minimal: You only need a few required columns. A label and a URL per entry is enough to get started.
Most of what the Toolbox used to handle, like bulk metadata updates, is now built into the All Content view. Importing directory entries is one of the few places where it still earns its keep.
How directory entries work
Think of it in three layers:
Central entries managed by admins or delegated roles
Personal entries and favorites that each user adds and manages themselves
Micro apps that live inside a directory alongside regular links
Directories are not the same as the user directory, which is a separate module. That mix-up comes up more often than you'd think.
Watch your permissions
You can delegate directory management through roles, but there's a catch. Anyone with that role can see every directory, not just the one they're responsible for. Give create and edit rights, not delete, unless you're confident the person knows what they're doing.
The hidden feature: custom fields
This was the highlight for Misha. Tucked away at the bottom of the directory module settings is a template option that lets you add custom fields to every entry. It was added quietly a few months ago, and most people haven't found it yet.
Field types include:
Links with custom labels
Email addresses
Phone numbers
Single or multiple selection lists (for example, project phase 1, 2, or 3)
Each field can be required or optional. In the demo, Misha added a support email and phone number to a Concur entry, so anyone searching for Concur sees exactly who to contact. Entries can also be limited to specific segments.
Two gotchas: click the checkbox to add each field before you hit OK, and save the page afterward. If you skip either step, your changes won't stick.
Bonus: entry descriptions are indexed by LumApps search, so a good description makes your links much easier to find.
Micro apps in your directory
Ivo showed how micro apps have become first-class citizens in LumApps. When you add a new entry, you can choose between a link and a micro app. His demo was a shift-swap app: pick a shift, pick a colleague, and swap, all without leaving the directory.
Users can favorite micro apps just like links, so you could build a single profile page that shows each person's favorite tools.
Directories also work on mobile. You can place them in streams, on the homepage, or inside Journeys.
